Privacy Policy

Covering ionemicro.com, the iOneMax web application, and the IM Approval, IM Workorder, IM Tenant, IM Owner and IM Vendor mobile apps.

Last updated September 29, 2026.

Our role

iOneMax is licensed to property management companies, and the information held in it belongs to the company whose account you are using rather than to us. In data-protection terms that company is the controller and iOneMicro is a processor.

We do not decide what information is recorded, how long it is kept, or who may see it. We hold and process it on the account holder's instruction. We do not use it for our own purposes, and we do not combine information from one account with another.

If you are a tenant, owner or vendor, your account exists because a property management company created it. Requests to see, correct or delete what is held about you should be directed to that company, and we act on the instructions we receive.

The one exception is anyone who contacts us directly through this website. We are the controller of that, and it is only what you choose to type into the form.

What the apps collect

The mobile apps are windows onto an existing account. They collect nothing of their own beyond what you enter and what is needed to keep you signed in.

App Who signs in What it handles Device access
IM Approval Staff Vendor bills and approval decisions. Downloads bill attachments to the device to open them.
IM Workorder Staff Work orders, job notes and photos taken on site. Camera and photo library, for job photos. The only app that receives push notifications.
IM Tenant Residents and commercial tenants Leases, balances, invoices, payments, maintenance requests, and gross sales figures for a percentage-rent lease. Downloads documents to the device. Makes no payments.
IM Owner Property owners Statements and reports for the properties you own. Read-only: the app sends no changes back.
IM Vendor Contractors Job status, photos, documents and invoice claims. Camera, photo library and file picker, for job evidence and invoices. Bank details are shown but cannot be edited in the app.

Across all five we also hold your sign-in identity — the username or email address you sign in with — and a session token. The token is kept in the operating system's own secure storage rather than in ordinary app storage, and it expires and renews while you continue to use the app.

IM Workorder additionally registers to receive push notifications. Doing so involves a third-party notification service, which issues a token identifying that installation so a message can be delivered to it. It is used for nothing else, and the other four apps do not receive push notifications.

Photos and files you attach are uploaded to the account they belong to and stored with the job or invoice you attached them to. Documents you open are downloaded to your device so it can display them.

What the apps do not do

No analytics, and no crash reporting. None of the five apps contains an analytics, crash-reporting, advertising or attribution library. We do not measure how you use the app.

No advertising, and no tracking. Nothing in the apps follows you across other companies' apps or websites, and nothing is shared with data brokers or advertising networks.

No location. None of the apps requests or records your location.

No contacts, calendar, microphone or health data. The camera, photo library and file picker are used only where the table above says, and only at the point you choose to attach something.

We do not sell your information, and we do not use it to train anything.

Deleting your data

This covers IM Approval, IM Workorder, IM Tenant, IM Owner and IM Vendor, and the iOneMax web application.

If you sign in with an account your employer gave you, ask your own administrator to remove your user account.

If you are a tenant, owner or vendor, contact the property management company whose account holds your record. They created the account and they can remove it.

If you cannot reach them, write to contact@ionemicro.com with the name of the app and the address you sign in with. We will identify the account holder and pass the request to them. We cannot delete the record ourselves, because it is not ours to delete.

What removing your user account deletes: your sign-in identity, your password, and any session tokens. Access to the apps and to the web application ends immediately.

What it does not delete: the records you worked on — bills, work orders, leases, invoices, statements and their attachments — which belong to the account rather than to your user, and remain there after a user is removed. How long they are kept is the account holder's decision; as above, we do not set it.

How long we keep it

We keep information for as long as we are instructed to by the account holder, and delete or return it when that instruction ends. We do not set retention periods ourselves.

Removing an app from your device signs you out and clears what the app had stored there. It does not remove anything from the account, because that record is not the app's to remove.

Your choices

Access, correction and deletion: direct these to the property management company whose account holds your record. We act on the instructions we receive from them.

Push notifications (IM Workorder) can be turned off in your device settings at any time, without affecting anything else in the app.

Camera, photo and file access is requested only when you first attach something, and can be withdrawn in device settings. The rest of the app continues to work without it.

Depending on where you live, you may have rights under laws such as the GDPR or the CCPA. Those rights are exercised against the controller, and we support the controller in responding.

Children

These are business applications and are not directed at children. We do not knowingly collect information from anyone under 13.

Changes, and how to reach us

We will update this page when what we do changes, and the date at the top will say when. Questions about it go to contact@ionemicro.com.

If you are asking about your own records rather than about this policy, direct that to the property management company whose account holds them.
